    1. Agreement to Terms

    These Terms and Conditions ("Terms") constitute a legally binding agreement between you and Astrentia Group ("Astrentia," "we," "us," or "our") governing your access to and use of our luxury concierge, lifestyle management, and bespoke travel services. By accessing our services or website, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, please do not use our services.

    3. Services Provided

    Astrentia provides premium services including but not limited to:

    • Bespoke travel planning and curation
    • Luxury concierge services
    • Lifestyle management for HNWI clients
    • Private office services
    • Event planning and coordination
    • Accommodation and transportation arrangements
    • Access to exclusive experiences and partnerships

    All services are subject to availability and may be modified or discontinued at our discretion.

    4. Membership and Registration

    To access certain services, you may be required to register for a membership account. You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate and current. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

    We reserve the right to refuse service, terminate accounts, or cancel memberships at our sole discretion, particularly in cases of suspected fraud, misuse, or violation of these Terms.

    Membership Application — Data Processing & Confidentiality

    By submitting a membership application through this website, you expressly consent to Astrentia Group collecting, processing, and retaining the personal information you provide solely for the purpose of evaluating your application, conducting confidential reference checks where appropriate, and communicating with you about membership and related private-office services.

    Your application data is held in a single restricted file, reviewed only by senior members of the private office, and is never sold, shared with unauthorized third parties, or used for general marketing without your explicit opt-in. All processing is carried out in accordance with our Privacy Policy and the Data Protection Act, 2019 of Kenya.

    You may withdraw your application or request deletion of your submitted data at any time by contacting us at services@astrentia.com. Withdrawal does not affect the lawfulness of processing carried out before the request is received.

    5. Booking and Reservations

    All bookings are subject to availability and confirmation. A booking is only confirmed upon our written confirmation and receipt of any required deposits or payments. We act as an intermediary between you and third-party service providers (hotels, airlines, tour operators, etc.). While we strive to ensure accuracy, we are not liable for errors, omissions, or misrepresentations by third-party providers.

    Travel documents, visas, health requirements, and travel insurance are your responsibility. We recommend consulting official government sources and obtaining comprehensive travel insurance.

    6. Pricing and Payment

    All prices are quoted in the currency specified at the time of booking and are subject to change without notice until confirmed. Prices may include service fees, booking fees, and applicable taxes. Payment terms will be specified for each service or booking.

    We accept various payment methods as specified during booking. You authorize us to charge the provided payment method for all agreed-upon fees. Failed payments may result in cancellation of services and potential additional fees.

    Currency fluctuations, supplier price increases, or changes in taxes may result in price adjustments. We will notify you of any significant changes before finalizing your booking.

    7. Cancellations and Refunds

    Cancellation policies vary depending on the service provider and type of booking. Specific cancellation terms will be provided at the time of booking. Generally:

    • Membership fees are non-refundable unless otherwise stated
    • Service fees and consultation fees are non-refundable
    • Travel bookings are subject to the cancellation policies of third-party providers
    • Cancellations may incur administrative fees in addition to supplier penalties

    We strongly recommend purchasing comprehensive travel insurance to protect against unforeseen cancellations.

    8. Client Responsibilities

    As a client, you agree to:

    • Provide accurate and complete information for bookings and services
    • Possess valid travel documents, including passports and visas
    • Comply with all laws, regulations, and customs of destinations visited
    • Behave respectfully toward service providers, staff, and other clients
    • Comply with all health and safety requirements, including vaccinations
    • Obtain appropriate travel insurance
    • Notify us immediately of any changes to contact information or travel plans

    9. Limitation of Liability

    To the fullest extent permitted by Kenyan law, Astrentia Group, its directors, officers, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or goodwill, arising from:

    • Your use or inability to use our services
    • Actions or omissions of third-party service providers
    • Travel delays, cancellations, or disruptions
    • Loss, theft, or damage to personal property
    • Personal injury or illness during travel
    • Force majeure events including natural disasters, political unrest, pandemics, or other circumstances beyond our control

    Our maximum aggregate liability for any claims arising from our services shall not exceed the total fees paid by you for the specific service giving rise to the claim.

    10. Force Majeure

    We shall not be liable for any failure or delay in performing our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, war, terrorism, civil unrest, pandemics, government actions, strikes, or failures of third-party service providers. In such events, our obligations shall be suspended for the duration of the force majeure event.

    11. Intellectual Property

    All content on our website and marketing materials, including text, graphics, logos, images, and software, is the property of Astrentia Group and protected by Kenyan and international intellectual property laws. You may not reproduce, distribute, modify, or create derivative works without our express written permission.

    The Astrentia name and logo are trademarks of Astrentia Group. Unauthorized use of our trademarks is strictly prohibited.

    12. Confidentiality

    We respect the privacy and confidentiality of our clients. All personal information and details of your arrangements will be handled in accordance with our Privacy Policy and the Data Protection Act, 2019 of Kenya. We will not disclose your information to third parties except as necessary to provide services or as required by law.

    13. Governing Law and Dispute Resolution

    These Terms shall be governed by and construed in accordance with the laws of Kenya, without regard to its conflict of law principles. Any disputes arising from these Terms or our services shall be subject to the exclusive jurisdiction of the courts of Kenya, located in Nairobi.

    Prior to initiating legal proceedings, the parties agree to attempt to resolve disputes through good-faith negotiation and, if necessary, mediation in accordance with Kenyan arbitration procedures.

    14. Indemnification

    You agree to indemnify, defend, and hold harmless Astrentia Group, its affiliates, officers, directors, employees, and agents from any claims, liabilities, damages, losses, costs, or expenses (including reasonable legal fees) arising from:

    • Your violation of these Terms
    • Your violation of any law or the rights of third parties
    • Your use of our services
    • Any false or misleading information provided by you

    15. Severability

    If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, such provision shall be modified to the minimum extent necessary to make it valid and enforceable. If modification is not possible, the provision shall be severed, and the remaining provisions shall remain in full force and effect.

    16. Entire Agreement

    These Terms, together with our Privacy Policy and any additional terms provided for specific services, constitute the entire agreement between you and Astrentia Group regarding the use of our services and supersede all prior agreements, understandings, or representations.

    17. Modifications to Terms

    We reserve the right to modify these Terms at any time. Changes will be effective upon posting to our website with an updated "Last Updated" date. Your continued use of our services after changes are posted constitutes acceptance of the modified Terms. We encourage you to review these Terms periodically.

    18. Waiver

    No waiver of any provision of these Terms shall be deemed a further or continuing waiver of such provision or any other provision. Our failure to assert any right or provision under these Terms shall not constitute a waiver of such right or provision.
